An executive of a financial firm recently gave our team an opportunity to be heroes (like they needed one more opportunity). The client needed a way to search through 3,000 emails and download the attached PDF reports sent by twospecific senders. These reports contained critical financial data that then had to be extracted, reviewed, and consolidated into a single, easy-to-read Excel sheet.
There was not enough time to manually open thousands of emails, save each PDF, and keep everything organized. Even worse, the risk of human error was high: missed files, duplicates, or inconsistent naming could easily skew the final dataset. From their perspective, the project looked like an unavoidable time sink with no elegant solution.
Instead of accepting the limitations, we took a different approach. First, we leveraged Microsoft Copilot to help test and validate a PowerShell script designed specifically for this use case. The script searched through all emails from the two identified senders, automatically located every attached PDF, and downloaded them into a single local folder. What once seemed impossible was completed in a repeatable, reliable way without manual effort.
Once all the raw data was collected, the next challenge was making sense of it. For that, we used Copilot Cowork to analyze the PDF reports, extract relevant financial data, and consolidate everything into a single, clean, readable Excel file. The result was a structured dataset that the client could immediately use for analysis, reporting, and decision-making.
This project is a great example of how the right combination of automation and AI can transform an overwhelming operational task into a streamlined, high-value outcome and why “it can’t be done” is often just the starting point.
